This policy explains what data Tootsies (“Toots”) processes, why, and
your choices. Tootsies is a Discord bot added to a server by that server’s
moderators.
What we process
To function, the bot processes data that Discord makes available to it in servers where it
has been added:
Messages and content in channels the bot is configured to read, used in
the moment to respond, summarize recent conversation, and power features. This can include
text, links, and attachments, and transcriptions of shared voice notes and videos so they
can be treated like text.
Long-term memory notes, summarized, attributed notes about observed
public activity in configured channels so the bot can recall context later. These describe
observed public behavior only.
Engagement statistics, aggregate per-member counts derived from public
activity (messages, reactions, replies) that power leaderboards and profile-card
features.
Information you explicitly ask the bot to remember about you, for
example a preferred nickname. This is consent-based and only used to personalize the
bot’s replies to you.
Discord identifiers, user, server, and channel IDs needed to associate
the above with the right context.
Configuration set by moderators (enabled features, channels,
limits).
What we do not do
We do not sell your data.
We do not use your data to build advertising profiles.
Operational logs are minimized and do not store full message content.
Information you tell the bot to remember about you is used only to personalize its
replies to you. It is not disclosed to other users.
How we use it
Data is used solely to operate the bot’s features: responding, recapping, recalling
relevant context, running community stats and games, moderator tooling, and keeping the
service reliable and safe (rate limiting and abuse prevention).
Third-party processors
To deliver features, message content and related context may be sent to third-party
providers acting as processors, including AI model providers (to generate responses), our
hosting provider, and data-lookup providers. These providers process the data to return a
result and are subject to their own privacy terms.
Retention and deletion
Any user can run the bot’s /forget command to delete the long-term
memory notes and remembered facts associated with them.
Removing the bot from a server stops further processing for that server.
You may request deletion of data associated with you by contacting us at the address
below.
Children
The bot is not directed to children. You must meet Discord’s minimum age requirement
to use Discord and this bot.
Changes
We may update this policy; material changes will be reflected by the “last
updated” date above.
